Everything you need to run your business on Ezra Pro

Step-by-step guides for every screen in your dashboard, with real screenshots. The examples use Summit Ridge Adventures, a demo adventure park, so what you see here matches what you see when you log in. Use the search bar to jump straight to a task.

Your dashboard home. The left sidebar is your map to everything in this guide.

Find your way around

Every screen lives in the left sidebar, grouped by the job it does.

Click the Search… box at the top of any dashboard screen. It opens a palette that searches activities, bookings and guests, or jumps to any page. Type a few letters and press Enter.

It also has quick Actions: New booking (take a reservation on any departure), Create activity and Switch to dark theme.

The palette lists every page. Start typing to filter.
Typing “book” shows pages and the New booking action.

The rest of the top bar

  • Workspace switcher (top of the sidebar): if you run more than one business, click your business name to switch.
  • Date chip, EN, bell and moon icons: today's date, dashboard language, notifications (a number shows when something needs you) and light/dark mode.
  • Platform fee card at the bottom of the sidebar shows your rate. How fees work opens Settings → Payments & tax.
  • Collapse shrinks the sidebar to icons when you need more room.

Go live checklist

Do these in order. Each one links to its full guide.

Connect Stripe before you share your link.Until Stripe is connected, the dashboard says checkout “holds the seat and you take payment yourself.” Guests can book, but no card is charged.

Last step: open your booking page as a guest (View storefront) and walk through a booking yourself.

Actions with no undo prompt

A few buttons act the moment you click them. There is no “Are you sure?” step, so slow down on these.

These happen as soon as you click
  • Cancel reservation (booking ⋯ menu): cancels and frees the seats immediately. You can bring it back with Restore reservation in the booking's ⋯ menu.
  • Remove from workspace (Team ⋯ menu): the person loses access straight away. To bring them back you have to invite them again.
  • Statements (Payments): downloads a CSV file straight away.
  • Check in switches (Manifest, booking record): tap again to undo.
  • Delete workspace (Settings → General → Danger zone): permanently deletes the business, its bookings, guests, payments, schedule, media and team access.

Menus in Ezra Pro stay open until you click somewhere else. Press Esc or click an empty part of the page to close one before you click the next row.

Bookings

Sidebar → Bookings

Every reservation across all your adventures. Search it, filter it, and act on it without leaving the page.

Status tabs across the top, filters underneath, one row per booking.

Find a booking

  1. Type a guest name or email into the search box. (In our test, searching the 8-character reference returned nothing, so search by name or email.)
  2. Narrow it with All experiences, the payment filter and the date picker.
  3. Use the tabs to show only Pending, Confirmed, Checked in, Completed or Cancelled.
Don't see older bookings? The list opens on upcoming departures only. Click the × on the “Departing” date chip, or click Reset, to show every date.

Click a guest's name to open the full record in a side panel. Use the arrows at the top to step through bookings without closing it.

  • Departure: activity, date, time, location and crew. View on calendar jumps to it.
  • Participants: a switch per person to check them in, or Check in all.
  • Waivers: who has signed. Copy link to send the signing page, or open Check-in tablet at the desk.

Extra charges, gratuity, discounts and internal notes

Scroll to the bottom of any record:

  • Extra charges & discounts: + Charge, + Gratuity (with a % box) or + Discount. The booking total and what's owed update when you save. You don't need to add a merchant fee; it's added automatically when guests pay online.

  1. Click Import (top right of Bookings).
  2. Choose a CSV or Excel (XLSX) file up to 15 MB.
  3. Pick its header row, map its columns to Ezra Pro fields, then review the bookings. Missing past departures can be recreated so your history stays complete.

Take a phone or walk-in booking

Bookings → + New booking (or Search bar → New booking)

Use this when a guest calls or walks up. Seats are held the moment you confirm.

  1. On Bookings, click + New booking (right of the filters). From anywhere else, click the Search… bar, type new booking and press Enter.
  2. Experience: pick the activity. Each card shows length and the “from” price. Click Continue.
  3. Departure: a full month calendar shows every bookable day with seats left. Pick a day, then a time (each shows seats left and how full it is). The top bar says how many departures are open.
  4. Tickets: use + and − for each ticket type. The footer shows guests and total.
  5. Guest: search an existing guest by name, email or phone, or fill in first name, last name and email (phone optional). Add Notes for the crew such as allergies, mobility or celebrations. New guests are saved to Guests with the booking.
  6. Payment: choose how the guest is paying, check the order summary (activity, date, meeting point, tickets, total), then click Confirm reservation.

Step 2: Departure: month calendar, then a time.
Step 3: Tickets.
Step 4: Look up a guest or add a new one.
Step 5: Already paid, payment link or collect later.
Booking an existing guest: their details and trip history carry over.
Tip: finding a returning guestIn an earlier test, part of the guest’s email found them faster than their full name. If a name search comes up empty, try the email.

Refunds and cancellations

Bookings → ⋯ on the row → Refund…
Bookings → ⋯ on the row → Refund…. “Nothing outstanding” means the booking is paid in full; when money is owed, that line lets you collect it.

Give a full refund

  1. Find the booking in Bookings and click the ⋯ at the end of its row. (Or open the booking and use ⋯ → Issue refund.)
  2. Click Refund…. The dialog shows the guest, reference, activity and date.
  3. Leave Full refund selected. Everything collected goes back.
  4. Pick a Reason and, if you like, add a Note (kept on the booking).
  5. Decide on Cancel the reservation too (on by default). On releases the seats back to the departure; off keeps the booking.
  6. Click Refund $….
Full refund: collected amount, amount back to the guest, and the two switches.
Reasons: Guest asked to cancel, Weather or sea state, We cancelled the departure, Overbooked, Duplicate charge, Goodwill after a complaint, Something else.

Give a partial refund

  1. Open Refund… as above and choose Partial refund.
  2. Type the Amount to refund. The box shows the most you can refund (“Up to $…”).
  3. Pick a reason and click Refund $…. The rest stays with you and the seats stay booked, so Cancel the reservation too is turned off.
Partial refund adds an Amount to refund field.
When does the guest get the money?Card payments go back to the guest's card through Stripe, usually within 5–10 business days. Anything you took in cash or on your own card reader is recorded for you to hand back. If you already refunded in Stripe directly, turn on Already refunded in Stripe so Ezra Pro only records it.

Cancel without refunding

Click ⋯ → Cancel reservation on the row (or inside the record). This happens instantly, with no confirmation. The seats are released and a message reminds you to “Refund separately if money was taken.”

Undo a cancellation

  1. Open the cancelled booking (filter the list by the Cancelled tab).
  2. Click the ⋯ under the reference and choose Restore reservation. A “Reservation restored” message appears.

Reschedule a booking

Open the booking → ⋯ → Reschedule

Move a guest to another time, day or activity. What they already paid counts toward the new booking.

Move a booking to another time

  1. Open the booking (click the row, then Open full record) and click the ⋯ under the reference.
  2. Click Reschedule. A full page opens showing the guest and their current activity, date and time.
  3. Under Choose an activity, keep the current one (marked “Current activity”) or pick another.
  4. On the right: 1 · Choose a date (scroll the day strip or open the calendar icon), 2 · Choose a time, and 3 · Who is coming (adjust ticket counts).
  5. Check the new total and click Reserve now, then finish the last step. A cheaper move is refunded to the guest’s card; a dearer one is emailed to them to pay. You can also copy or email the pay link yourself.
The Reschedule page: activity on the left, date, time and tickets on the right.
The new total, and Or pick any date and time below it.

Pick any date and time (even full or past slots)

Under the booking card, Or pick any date and time lets you type a Date, Start time and number of guests and click Continue. A time that isn’t on the schedule yet is added for that activity when you move the booking. This works for earlier today, past days and times that are full.

Already checked them in?You can still reschedule. Checking a guest in no longer blocks moving the booking. Completed trips can’t be rescheduled.

Guests cancelling or rescheduling themselves

  • Every confirmation email has a link that lets the guest cancel or reschedule on their own.
  • It follows your cancellation policy: outside the free window they get an automatic refund (or pay the difference for a dearer time); inside it they can still cancel but nothing is refunded, and they can’t reschedule online.
  • You’ll see the change on the booking. Nothing for you to approve.

Pricing, add-ons and tips

Adventures → open an activity → Edit → Pricing

Step 4 of the activity editor. Change it any time; it applies to new bookings.

1. Pick how it's priced

  • Single price: one price for everyone.
  • Ticket types: adult, child, senior… each with its own price.
  • Options: several choices at different prices, like sizes, lengths or packages.

Then choose who the price covers: Price is per guest (multiplied by how many people come) or One price for the whole group (for charters and private bookings).

2. Ticket types

  1. Each tier has a Name, Price, optional Compare at price (shown struck through), Min qty, Max qty and a short note.
  2. The cheapest tier gets the Lead price badge; that's the “from” price on your storefront.
  3. Untick Counts toward capacity for tickets that don't take a seat (an infant on a lap, for example).
  4. Click Add tier, or use a preset: Child (4–12), Senior (65+), Infant (under 4), Private charter.

  3. Worth: Percentage off (scales with the booking) or Amount off (same on every booking).
  4. Optional Starts and Expires (the last day it works).
  5. Limit uses: blank for unlimited. A cancelled booking gives its use back.
